Permitted Use
The client portal is intended for the following purposes:
- Viewing project status, timelines, and deliverables.
- Submitting and tracking support tickets.
- Sending and receiving messages related to your projects or support requests.
- Uploading and downloading documents related to your engagement with Fix Action Inc.
- Reviewing invoices and payment history.
Prohibited Activities
You may not use the client portal to:
- Upload, transmit, or store any content that is illegal, harmful, threatening, abusive, defamatory, or otherwise objectionable.
- Upload viruses, malware, ransomware, or any other malicious software or code.
- Attempt to access another client's account, data, or portal areas that are not assigned to you.
- Reverse engineer, decompile, or attempt to extract the source code of the portal or any related software.
- Use automated scripts, bots, or crawlers to interact with the portal.
- Use the portal for any purpose unrelated to your business relationship with Fix Action Inc.
- Attempt to probe, scan, or test the vulnerability of the portal or any connected system without our written authorization.
- Overload, flood, or otherwise interfere with the normal operation of the portal.
Data and File Uploads
When uploading files to the client portal, the following rules apply:
- File size limit: Individual files must not exceed 25 MB. If you need to share larger files, contact us and we will arrange an alternative transfer method.
- Storage limit: Each client account has a total storage allocation of 1 GB. Additional storage may be arranged on request.
- Allowed file types: Common document formats (PDF, DOCX, XLSX, CSV, TXT), image files (PNG, JPG, GIF, SVG), and compressed archives (ZIP). Executable files (.exe, .bat, .sh, .msi) are not permitted.
- Content responsibility: You are responsible for the content of any files you upload. Do not upload files that contain sensitive personal data (such as Social Security numbers or health records) unless required for the project and discussed with us in advance.
Communication Standards
The messaging and ticket system in the client portal is meant for professional communication related to your projects and support needs. We expect all communication to be respectful and relevant.
We reserve the right to remove messages or ticket comments that contain abusive language, spam, or content unrelated to your services.
Monitoring and Logging
We log access and activity on the client portal for security and troubleshooting purposes. This includes login attempts, file uploads and downloads, ticket activity, and page views. These logs are retained for 12 months and are only reviewed when investigating a security incident or resolving a technical issue.
Policy Violations
If we determine that you have violated this policy, we may take one or more of the following actions, depending on the severity:
- Warning: For minor or first-time violations, we will send you a written notice explaining the issue and asking you to correct it.
- Temporary suspension: We may temporarily suspend your portal access while we investigate the violation. During suspension, you can still reach us by email for urgent matters.
- Account termination: For serious or repeated violations, we may permanently terminate your portal access. If your account is terminated for a policy violation, we will provide your data upon request within 30 days of termination.
- Legal action: In cases involving illegal activity or significant harm to our systems or other clients, we reserve the right to pursue legal remedies.
We will make reasonable efforts to notify you before taking action, except in cases where immediate action is necessary to protect our systems or other clients.
Changes to This Policy
We may update this Acceptable Use Policy from time to time. We will notify you of changes through the client portal or by email. Continued use of the portal after changes are posted constitutes your acceptance of the updated policy.
